What we look for in selecting stalls

In selecting stalls, we aim to offer a diverse range of food, beverages, and both Australian-made and general products. We take care, wherever possible, to avoid having multiple stalls selling the same items (with the exception of coffee), to give each stallholder the best opportunity for strong sales. For this reason, it is important that applicants clearly outline the products they intend to sell during the application process.As our festival is volunteer-run and our artists are essential to its success, preference is given to stallholders who offer discounts to both volunteers and artists.Stall presentation also plays an important role in our decision-making. We recognise that patrons are drawn to stalls that are visually appealing and accessible, and many prefer supporting small businesses over larger companies.

Successful applications

Applications will be assessed, and first round offers will be made by Friday, October 16. Unsuccessful applicants will be informed by Friday, October 23.Those applicants that are being considered for a second-round offer that applied by September 13 will be informed by Friday October 30.

Question 5

Trucks and Trailers

There are limited suitable spaces for Food trucks on our site. Most trucks will be placed between the Coorong and Fitzroy buildings, with one or two allocated near the Session Bar for late night trading. No trucks/trailers will be placed in the Coorong or Budawang forecourts in 2027.

We understand that all stallholders want their preferred or the best possible position however unfortunately that is not possible for every applicant. We aim to curate precincts that not only consider power and water needs but also consider the patron flow onsite.

Site dimensions

Boundaries of the Stallholder’s stall site will be marked out on the event grounds.Stallholders must operate within their allocated stall footprint, including all plant and equipment.As site dimensions determine position, it is important that measurements include all space required for both front and back of house. For trucks and vans this includes tow bars, door openings, and hitches. Our map is quite precise and if these are not included you may find you cannot fit in the site allocated on arrival, at which point adjustments can NOT be made and you may not be able to setup your stall. If we can accommodate changes you will be charged extra accordingly before you setup.

Question 11

Bump in and Bump out

Stallholders must adhere to specified load-in times and rules. These can be found in the Terms and Conditions. Prior to the Festival stallholders are required to book a time with the Stall management team for their arrival for Bump In.All cool rooms must be delivered and positioned on-site by 12pm Wednesday 24 March.

Staff passes

Staff passes are issued to the primary stall applicant. Each pass permits access to the Entertainment Zone for the duration of the festival (including bump in, bump out, restocking and festival times).Extra passes may be purchased and must be ordered in advance.Staff passes can be passed on to other staff members at shift changeover times.A festival staff pass permits camping in the general camping areas or the designated Stallholders camping area. Electrical

Power onsite is limited and must be requested in the application process as it is taken into consideration when choosing and mapping stalls.Each site fee includes 1 x 15-amp outlet.Any additional 15-amp outlets must be ordered and paid for by the Stallholder prior to the event.Successful Stallholders must provide a list of all equipment and amp usage.Orders for additional power must be placed in advance, as EXTRA POWER CANNOT BE ORDERED ON SITE.

Question 14

Insurance and registrations

Stallholders are required to have the following insurance policies, valid for the duration spent on site.Public Liability - Required for all stallholders - Value of $20 millionProduct Liability - Required for Food Stallholders - Value of $10 millionProperty Damage - Recommended for all Stallholders - Value of $10 millionThe National Folk Festival must be listed as an interested party. Copies of these policies must be submitted with your application.

Question 15

Food businesses extra details

Product liability is required for all food stallholdersStallholders who ARE currently registered with the Health Protection Service (ACT) must always display their current food business registration certificate (or a copy) in their stall during the event and supply a copy to the NFF.A food business is exempt from registration if the business:Handles or sells food in or from a food transport vehicle (i.e. Food van) that is registered in another state or territoryOnly sells pre-packed non-potentially hazardous food (e.g. Muesli bars)Food Stallholders who ARE NOT currently registered with the Health Protection Service (ACT) and are not exempt from registering, need to complete a Declared Event Food Business Registration at least 28 days prior to the event.  The National Folk Festival is classed as a Declared Event.Selling food at an event - ACT GovernmentTemperature logs must be kept for all potentially hazardous food prepared prior to, and during, the event. Regular temperature checks during transport, storage and display of food must be done and recorded in the log.Food stalls must have the following facilities, and must be indicated on the site plan:Separate sinks for food prep and hand washing.Refrigeration (some exceptions for low risk/non-perishable foods).A floor of impervious (solid) material such as sealed boards, groundsheets, rubber matting or similar. Waste

The National Folk Festival strives to be a no waste and is proud to have received awards in the past. The ACT government has strict guidelines on no single use plastics. We ask all stallholders to adhere to the guidelines in our waste guide.

Question 17

Camping

Accepted Answer

General Camping is included in your fee and allows you to camp in the Stables, Acton Arena, or Oval general campgrounds.The Stallholder Camp zone is between the Fitzroy building and McDonalds.Reserved sites in the Stallholder Camp Zone are 6m x 8m. Discuss with staff prior if you need a larger sitePlease note there is no option to camp or park your car at or near your stall in the entertainment zone.Reserved (powered) camping is also available in Stables (marked out sites), Bicentennial and Cotter campgrounds. These must be booked through our ticketing system, not via the stall application. These are selling fast and are limited.
